NetID Lifecycle

Learn how to manage NetIDs for new students, faculty, and staff.

New students

Assignment timing

NetIDs are automatically assigned to new students within 24 hours of when they are added to Banner.

Activation

Student NetID activation is part of the student onboarding process in each school, and processes vary by school.

  • Yale College - Incoming students receive an email with instructions to claim (activate) their NetID. Banner sends emails starting in mid-April.

Assigned value

The NetID value is generated using the person's initials followed by a sequential number. NetID assignments are permanent, and are not reused or recycled.

  • Change Request - If a student objects to a NetID assignment, they may contact the registrar's office to request a change. NetID changes are rare and require manual handling.
  • Duplicate - If a student with a previous NetID is issued a second NetID, this is an error.  Contact the help desk as this situation will cause identity and access problems.

Access restrictions

IAM systems will allow student-level access only to NetIDs present in the Banner SYSIDM view.  Contact the Banner team or the Registrar's office if you suspect a student has been removed from SYSIDM in error.

New Workday worker or affiliate

Assignment timing

IAM assigns NetIDs to Workday workers and affiliates when they become active in Workday.   
Activation
NetID activation is part of the departmental on-boarding process.   In most cases, HR sends an email with a NetID activation link and an initial password to the lead administrator or hiring manager. They forward this information to the new employee.

Assigned value

The NetID value is generated using the person's initials followed by a sequential number. NetID assignments are permanent, and are not reused or recycled.

  • Change Request - If a worker or affiliate objects to their NetID assignment, they may contact their manager. Approval for worker or affiliate NetID changes must come from the Provost's office. NetID changes are rare and require manual handling.
  • Duplicate - If a worker or affiliate with a previous NetID is issued a second NetID, this is an error. Contact the help desk as this situation will cause identity and access problems.

Access restrictions

IAM systems will only allow worker or affiliate level access to individuals active in workday.  If you believe a workday worker or affiliate lost their active status in error, contact HR, the Provost's office, or the Workday team.

Other (not in Workday or Banner)

Summer Program participant

The Summer Programs office issues special IDs which allow access to Yale systems but are not full NetIDs. The summer program office assigns and removes these IDs in bulk.

Sponsored Identity

Set up a sponsored Identity (SI) for a person who needs a NetID and is not a student, workday worker, or workday affiliate. An active employee must sponsor that person and request a NetID using the Sponsored Identity system. Sponsored Identities are created with a fixed expiration date.
