Read about the different stages of a student’s NetID, as well as information about email and VPN.

 

Onboarding Timeline

Stage Details Next Steps
Enrollment at the University When a student accepts their offer of admission, a NetID is established on their behalf. The identity needs to circulate through various University systems before the account is ready for activation.
Account distribution The registrar’s office for a student’s school will notify them when their NetID is ready to be activated and will inform them where to find their activation PIN. The individual’s NetID can be activated on the NetID Management webpage using their PIN and date of birth.

 

Access Upon Activation

Upon NetID activation, students will be directed to set up DUO for multifactor authentication (MFA). Visit Use Yale’s Multifactor Authentication (MFA) Service for more information. They will also be directed to add a non-Yale recovery email in case of a forgotten password.

An “@yale.edu” email address will also be provided with a student’s NetID. Depending on the college, student accounts are either provided by EliApps or Office 365. EliApps is Yale’s version of Google G Suite, and these accounts include Gmail, Google Drive with storage, and Google Calendar. Students with Office 365 accounts will have access to Outlook, Teams, OneDrive, and many other Office 365 applications.

All students have access to Yale’s VPN and can use it upon download. This is used primarily for accessing Yale Library’s digital resources. See Set Up Virtual Private Network (VPN) for guidance on downloading and connecting to the VPN, as well as a list of applications that require the VPN to access.

 

Making Requests After Activation

To change a preferred name or email alias, please see How to change your preferred first name and email alias. If you need to change your legal name in Yale’s systems, please call the Help Desk at (203) 432-9000

 

Account Deactivation Timeline

On this day: These actions occur: Possible actions to take BEFORE this date:
Graduation The student’s status changes from Student to Recent Alumni and the deactivation timeline begins. Learn how to set up an alumni Gmail account though YaleMail.
4 months after graduation

VPN and Yale Library access is removed.

Box access is removed.

Adobe Creative Cloud access is removed.

Alumni library resources can be set up by following the instructions on the Yale Library website.

12 months after graduation

The student’s Yale email account is deactivated.

The student’s NetID is locked, preventing access to most Yale systems.

14 months after graduation All Office365 or EliApps content is permanently deleted. N/A

 

Note: Students who have withdrawn from the University need to contact their Registrar’s office to determine their access. Those who are taking a leave of absence will maintain their access as long as they remain on leave.

 

Summer Students

Summer students who are not full-time students or employees of the University are treated the same as students that graduate during the fall semester. The account deactivation timeline for summer students begins in December of the same year as their term.

Please note, summer students must request an email account by contacting their Registrar’s office.
